This Privacy Policy explains how Jad Saleh, trading as Manager In Practice (“we”, “our”, “us”), collects, uses, stores, and protects personal data when you visit managerinpractice.com or interact with our services. We are committed to protecting your privacy in accordance with the Act on the Protection of Personal Information (APPI) of Japan and, where applicable, the General Data Protection Regulation (GDPR).

3. what data we collect

We may collect the following categories of personal data:

• From website visitors: name, email address, and any information you voluntarily submit through contact forms or mailing list signups.
• From coaching clients: name, email address, phone number, session dates, number of sessions purchased and completed, payment method and amount, currency of payment, coaching-related notes, and survey responses collected through Google Forms prior to and following a coaching engagement. Coaching-related notes refers to session notes and progress observations maintained for professional and ICF credentialing purposes. This data is collected through our coaching agreement, booking system, coaching surveys, and direct communication.
• Automatically through the website: usage data including pages visited, time spent, device type, and approximate location, collected via Google Analytics.

4. How we use your data

We use your personal data for the following purposes: to deliver coaching services as agreed in the individual Coaching Agreement, to process payments and maintain financial records, to communicate with you about your coaching engagement or inquiries, to send you content or resources you have requested such as our free guide, and to maintain records required for tax, accounting, and International Coaching Federation (ICF) credentialing purposes, and to improve our website through anonymized analytics.

When you request the free guide, your name and email address are added to our mailing list via MailerLite. You will receive the guide and may receive occasional emails related to people management and coaching. You can unsubscribe at any time using the link in any email.

5. legal basis for processing (gdpr)

For visitors and clients in the European Union or European Economic Area, we process your personal data on the following legal bases: contract performance for delivering coaching services, legitimate interests for website analytics and business administration, consent for mailing list signups and marketing communications, and legal obligation for financial and tax record retention.

We are committed to protecting your privacy in accordance with the following applicable regulations where relevant to your location: the Act on the Protection of Personal Information (APPI) of Japan, the EU General Data Protection Regulation (GDPR), Canada’s Personal Information Protection and Electronic Documents Act (PIPEDA) and applicable provincial legislation, Quebec Law 25, Brazil’s Data Protection Legislation (LGPD), California’s Consumer Privacy Act (CCPA) and California Privacy Rights Act (CPRA), Colorado Privacy Act (CPA), Virginia Consumer Data Protection Act (VCDPA), Connecticut Data Privacy Act (CTDPA), Utah Consumer Privacy Act (UCPA), and South Africa’s Protection of Personal Information Act (POPIA).

6. Third party services

We use the following third party services which may process your personal data when you interact with our website or services. Each service is governed by its own privacy policy and by using our services you acknowledge that your data may be transferred to and processed by these platforms:

Stripe for payment processing, Calendly for session scheduling (your name, email address, and scheduling information are transferred to Calendly’s servers when you book a session), Zoom and Google Meet for video coaching sessions (connection data and session metadata are processed by their respective platforms), DocuSign for electronic signatures (your name, email address, and agreement data are processed by DocuSign), Google Workspace for email communications (emails exchanged with us are stored on Google’s servers), Google Analytics for website analytics, Google Forms for coaching intake and outcome surveys (your name, email address, and survey responses are stored on Google’s servers and subject to Google’s privacy policy), Notion for coaching notes and administration, Dropbox for file storage, Kinsta for website hosting (standard server logs including IP addresses are retained), and MailerLite for email communications (your name and email address are transferred to MailerLite’s servers when you subscribe to our mailing list; MailerLite is governed by its own privacy policy and complies with GDPR).

Session summaries and follow-up notes may be shared with coaching clients via their preferred communication channel, which may include email, WhatsApp, or LinkedIn direct message. These platforms are personal accounts and are each governed by their own privacy policies. Session summaries shared via these platforms are subject to the message retention policies of each respective platform. We do not maintain a separate internal copy of session notes after they have been transmitted.
We use AI-assisted tools to support content creation, business administration, and professional development. We do not input personally identifiable client information into AI tools. Any coaching-related information used in this context is anonymized and does not include names, contact details, or any data that could identify a specific client or engagement.

We do not sell your personal data to any third party.

7. Data storage and security

Your data is stored using the following tools: Google Sheets for session tracking and financial records, Dropbox for document storage, and the third party platforms listed above. We apply reasonable administrative and technical safeguards to protect your data. Data may be stored on servers outside your country of residence, including in Japan and the United States.

8. data retention

We retain personal data for as long as necessary to fulfill the purposes described in this policy. Financial and accounting records are retained for a minimum of seven years as required by Japanese law. Coaching notes and personal data not required for legal or credentialing purposes may be deleted upon request. International Coaching Federation (ICF) credentialing records, including client name, contact information, and coaching engagement dates, are retained for the duration required by ICF credentialing and audit standards at the time of the relevant credential application or renewal.

9. Your rights

Depending on your location, you may have the following rights regarding your personal data: the right to access the data we hold about you, the right to correct inaccurate data, the right to request deletion of data we are not legally required to retain, the right to withdraw consent where processing is based on consent, and for EU residents, the right to data portability and the right to lodge a complaint with your local data protection authority.

Residents of Colorado, Virginia, and Connecticut have the right to file an appeal if they disagree with our response to a rights request. Colorado residents may contact the Colorado Attorney General. Virginia residents may contact the Virginia Attorney General. Connecticut residents may contact the Connecticut Attorney General.
